1. Information We Collect

The information we collect depends on how you use Clarity Dojo.

Information you provide

We may collect information such as:

• Name and email address.
• School, college, organization, or program affiliation.
• Role, such as student, counselor, teacher, advisor, or administrator.
• Career paths or questions you choose to investigate.
• Answers, reflections, confidence ratings, research notes, questions, planned outreach, and other information you enter while completing an Investigation or guided step.
• Feedback, support requests, and information submitted through contact, pilot, or scheduling forms.

We encourage users not to enter sensitive personal information that is unnecessary for career exploration.

Information collected automatically

Our website and hosting systems may automatically receive technical information such as IP address, browser and device type, access times, referring pages, pages or features used, and security or diagnostic information.

We may use cookies or similar technologies when necessary for login, account functionality, preferences, security, and operation of the service.

2. How We Use Information

We use information to:

• Provide and operate Clarity Dojo.
• Create and maintain user accounts.
• Save Investigations, guided-step responses, progress, and next steps.
• Generate career-exploration guidance and structured questions.
• Allow authorized staff to support students when Clarity Dojo is used through an institution.
• Provide technical support, maintain security, and prevent misuse.
• Understand and improve the service.
• Communicate about accounts, service changes, pilots, or information a user has requested.
• Comply with applicable legal obligations.

We do not sell student personal information.

We do not use student personal information for targeted advertising.

When Clarity Dojo is provided through a school or educational institution, information collected through that institutional use will not be used to advertise unrelated products or to build commercial advertising profiles about students.

3. Artificial Intelligence

Some Clarity Dojo features use artificial intelligence to help organize a user's question, identify areas for further investigation, generate possible research or interview questions, review responses, or suggest practical next steps.

When an AI-powered feature is used, information necessary to process that request may be transmitted to an AI service provider. Clarity Dojo currently uses the OpenAI API for certain AI features.

OpenAI states that, by default, inputs and outputs submitted through its API are not used to train or improve its models unless the API customer explicitly opts in. OpenAI's retention and data-control options can depend on the applicable service configuration and endpoint. Clarity Dojo will describe additional institutional data controls in an agreement when they are part of a specific implementation.

Clarity Dojo is designed so that AI output is part of an investigation rather than the final authority. Users should verify important information through credible sources and firsthand evidence.

4. Student and Institutional Accounts

When Clarity Dojo is used through a school, college, district, or other educational program, authorized staff may be able to view information related to participating students.

Depending on the implementation, this may include:

• Current Investigation.
• Guided-step progress and completed activities.
• Student responses and research notes.
• Self-rated confidence.
• Unanswered questions and planned next steps.
• Information indicating where additional staff support may be useful.

Access should be limited to authorized users with an educational or program-related reason to view the information. Clarity Dojo does not make student Investigation responses publicly searchable.

5. Schools, FERPA, and Education Records

Schools and colleges may have obligations under the Family Educational Rights and Privacy Act (FERPA), state student-privacy laws, and their own institutional policies.

When an institution uses Clarity Dojo as part of an educational program and provides access to information from student education records, the institution and Clarity Dojo may need additional contractual safeguards governing use, access, disclosure, retention, security, and deletion.

Use of Clarity Dojo does not automatically make an institution FERPA compliant. Institutions remain responsible for determining their own legal, policy, consent, and procurement requirements.

Where required for an institutional implementation, Clarity Dojo can address applicable privacy, data-processing, retention, access, security, and deletion requirements through an institutional agreement or data privacy agreement.

6. Children and Minors

Clarity Dojo's general public service is not intended for independent use by children under 13.

A child under 13 should not create an independent public account or submit personal information through the public service unless that use is appropriately authorized through a participating school, parent or guardian, or another legally permitted process.

Institutional use involving minors may require school authorization, parent or guardian permission, consent procedures, or other safeguards depending on the student's age, the information involved, and applicable law or policy.

If we learn that personal information from a child under 13 was collected outside an authorized context, we will take reasonable steps to delete it.

7. Learning From Professionals

Clarity Dojo may help students identify people with firsthand professional experience, prepare informational-interview questions, or draft outreach.

Clarity Dojo does not, by default, represent outside professionals as being screened, employed, endorsed, or approved by a student's school.

Schools and programs may establish their own requirements regarding whom students may contact, parent or guardian approval, staff supervision, approved professional networks, communication methods, job shadows, or in-person experiences.

Students should not disclose unnecessary personal, educational, medical, disability, financial, or other sensitive information to outside professionals.

8. Sharing Investigations

Clarity Dojo may allow a user to create a shareable, read-only version of an Investigation Brief.

A person with the share link may be able to view the shared content. Users should only create or distribute a share link when they are comfortable allowing its recipient to view the Investigation.

Share pages are intended to exclude account credentials and private account information. Users should nevertheless avoid placing unnecessary sensitive personal information within content they plan to share.

9. Service Providers

We may use outside companies to perform services necessary to operate Clarity Dojo, such as website hosting, email delivery, security and spam prevention, website functionality, artificial intelligence processing, and analytics or diagnostic services when enabled.

These providers may process information only as necessary to perform the services for which they are engaged, subject to their agreements and applicable law.

We do not provide student personal information to third parties for their own targeted advertising.

10. Data Retention

We retain personal information only for as long as reasonably necessary to provide the service, maintain an account, satisfy an institutional agreement, meet legitimate operational or security needs, or comply with legal obligations.

Student data collected through an institutional program may be subject to retention and deletion requirements established in the agreement with that institution.

Users and institutions may contact us to request deletion of information, subject to legal, security, contractual, or recordkeeping requirements that may require limited information to be retained.

11. Access, Correction, and Deletion

Depending on the type of account and applicable law, users may request to access personal information associated with their account, correct inaccurate information, delete their account or personal information, or ask questions about how their information is being used.

For institution-managed student accounts, some requests may need to be coordinated through the school or institution.

12. Security

We use reasonable administrative, technical, and organizational measures intended to protect personal information from unauthorized access, disclosure, alteration, or loss.

The site uses encrypted HTTPS connections when information is transmitted between a user's browser and the site. No Internet service or storage system can guarantee absolute security.

13. External Websites and Services

Clarity Dojo may link to outside websites, professional profiles, research resources, or other third-party services.

Those services operate under their own privacy policies and practices. Clarity Dojo is not responsible for the privacy practices of an external website simply because we provide a link to it.

14. Email Communications

We may email users about account activity, service-related information, requested support, Investigation activity, or programs and pilots a user has requested information about.

Marketing messages, if sent, will include an appropriate method to unsubscribe. Student information obtained through an institution will not be used for unrelated commercial email marketing.

15. Institutional Agreements

Schools, districts, colleges, and other organizations may require additional privacy, security, data-processing, retention, deletion, breach-notification, or procurement terms before using Clarity Dojo with students.

An executed institutional agreement or data privacy agreement may establish additional requirements for that institution. Where a signed agreement conflicts with this general policy, the applicable signed agreement governs the institutional data covered by that agreement to the extent stated in it.

16. Changes to This Policy

We may update this Privacy Policy as Clarity Dojo changes.

If we make material changes to how personal information is collected, used, or disclosed, we will update this page and, when appropriate, provide additional notice to affected users or institutional partners.
