Clarity Dojo Privacy Policy

Private exploration

You can investigate without AI, a resume, an employer name or networking. AI is optional and uses selected fields for the task. Local filtering reduces disclosure risk but cannot guarantee that free text is anonymous. Please describe work and results in general terms.

Investigations are available to you, authorized supporters and authorized site staff. Private investigation context is excluded from automated network matching unless you enable it for that investigation. Matching permission does not publish your investigation or contact anyone.

In My Investigation, choose Privacy and sharing to preview a shareable snapshot, set an optional expiration, revoke the link or delete the investigation. Public sharing remains unavailable for minors. Anyone with an active adult share link can read and copy its snapshot. Revocation cannot recall copies already made.

Deletion removes this brief, manual notes, saved decision state, research, people-search results and evidence workspace from your account, and disables sharing and matching. Previously submitted school or program forms, institutional records, operational logs, backups and provider copies may remain under their retention rules. Copies someone already downloaded cannot be recalled. Contact brian@claritydojo.com to review retained records. We do not claim immediate deletion from backups or OpenAI.

New browser drafts use tab storage. Older browser-saved briefs remain recoverable; raw resume fields are removed from those browser copies when the builder opens. Other devices and previously downloaded copies are not automatically erased.

1. Information We Collect

The information we collect depends on how you use Clarity Dojo.

Information you provide

We may collect information such as:

• Name and email address.
• School, college, organization, or program affiliation.
• Role, such as student, counselor, teacher, advisor, administrator, parent or guardian, mentor, or other trusted supporter.
• Email addresses used to invite a trusted supporter to a specific Investigation.
• Career paths or questions you choose to investigate.
• Answers, reflections, confidence ratings, research notes, questions, planned outreach, and other information you enter while completing an Investigation or guided step.
• Feedback, support requests, and information submitted through contact, pilot, or scheduling forms.

We encourage users not to enter sensitive personal information that is unnecessary for career exploration.

Information collected automatically

Our website and hosting systems may automatically receive technical information such as IP address, browser and device type, access times, referring pages, pages or features used, and security or diagnostic information.

When a visitor creates an Investigation Brief, we may retain limited campaign information with that Investigation, such as source, medium, campaign tags, referring website, and landing page. We do not retain the raw Facebook or LinkedIn click identifier for this purpose.

We may use cookies or similar technologies when necessary for login, account functionality, preferences, security, and operation of the service.

2. How We Use Information

We use information to:

• Provide and operate Clarity Dojo.
• Create and maintain user accounts.
• Save Investigations, guided-step responses, progress, and next steps.
• Generate career-exploration guidance and structured questions.
• Allow authorized staff to support students when Clarity Dojo is used through an institution.
• Allow a user to grant and revoke scoped access to a parent, guardian, mentor, coach, or other trusted supporter for a specific Investigation.
• Send time-limited invitation links so a trusted supporter can create or sign in to an account and accept that scoped access.
• Provide technical support, maintain security, and prevent misuse.
• Understand and improve the service.
• Communicate about accounts, service changes, pilots, or information a user has requested.
• Comply with applicable legal obligations.

We do not sell student personal information.

We do not use student personal information for targeted advertising.

When Clarity Dojo is provided through a school or educational institution, information collected through that institutional use will not be used to advertise unrelated products or to build commercial advertising profiles about students.

3. Artificial Intelligence

Some Clarity Dojo features use artificial intelligence to help organize a user's question, identify areas for further investigation, generate possible research or interview questions, review responses, or suggest practical next steps.

When an AI-powered feature is used, information necessary to process that request may be transmitted to an AI service provider. This may include relevant Investigation content and guidance a counselor, advisor, parent, mentor, or other authorized supporter submits for that AI request. Clarity Dojo currently uses the OpenAI API for certain AI features.

OpenAI states that, by default, inputs and outputs submitted through its API are not used to train or improve its models unless the API customer explicitly opts in. OpenAI's retention and data-control options can depend on the applicable service configuration and endpoint. Clarity Dojo will describe additional institutional data controls in an agreement when they are part of a specific implementation.

Clarity Dojo is designed so that AI output is part of an investigation rather than the final authority. Users should verify important information through credible sources and firsthand evidence.

What Clarity Dojo remembers

Updated October 10, 2026. Clarity Dojo stores investigation questions, selected answers, evidence, plans and generated guidance so you can return to your work. AI may suggest assumptions, possible career directions or interpretations of evidence. These are provisional suggestions, not verified facts about a person's abilities or permanent learner labels.

In My Investigation → Privacy and sharing → What AI uses, you can review the current question and saved assumptions, see available source and date information, edit an assumption, or remove it from AI context. Other answers and evidence are edited in their original workspace. Reviewing an assumption means you want to investigate it; it does not establish that it is true. Older records may lack an original date or reliable authorship.

For investigation-scoped AI requests, the current assumptions replace duplicated assumptions from the starting brief. Original brief interpretations and saved AI syntheses are not automatically carried into new requests through those context fields. Current evidence and answers may still support a similar new suggestion. Text you deliberately paste, submit or ask to revise can include earlier wording.

When relevant saved sources change, the site invalidates saved evidence reflections, counselor suggestions and Day 6/7 AI syntheses when it detects the change. Checks run on supported source saves, when reviewing this panel, and before AI requests. An AI response arriving after a detected source change is rejected. Human evidence, assigned tasks and historical briefs remain; changing an assumption is not deletion of all copies of that wording.

Where context can travel

Investigation decision records are scoped to an investigation. The application does not automatically merge them into a lifelong student profile or move them to another vendor. Selected context is sent to OpenAI when an authorized AI feature is used. Authorized supporters and site staff may access records within their permissions. Parent permission for AI does not by itself grant access to investigation work.

Adult network profiles are separate. Using private investigation context for matching requires permission for that investigation; minors cannot enable this matching. Generated career hypotheses are excluded from automatic reuse through the career-evidence context field. Adults can still deliberately review and save a profile draft, which then has its own life until edited or deleted. Adult share links expose the reviewed snapshot to anyone with the link. Copies already received by people or another service cannot be recalled.

Retention and deletion

• Saved investigations: retained until deleted or handled under an applicable institutional arrangement. There is no automatic school-year or grade-change expiration. Some workspace histories have count limits; these are not a retention schedule.
• Guest briefs: unclaimed briefs expire after seven days and are eligible for scheduled cleanup. Claimed account briefs do not use that expiration.
• Temporary processing: evidence-helper cache entries expire after 24 hours and research polling jobs after 10 minutes. New investigation-linked helper caches and response bindings are tracked for removal on source changes or investigation deletion. Older unindexed helper caches are excluded from reuse and remain until their existing expiration and storage cleanup.
• Deleting an investigation: removes its brief and associated account decision, research and evidence records, disables sharing and matching, and removes tracked temporary caches. A content-free identifier hash remains to prevent recovery of the deleted investigation. Previously submitted school/program forms, operational logs, backups, separate network profiles and copies held by others are not all erased by this action.
• Provider copies: Clarity Dojo requests store=false and does not use provider conversation-continuation identifiers. This is not a promise of zero retention. OpenAI documents default abuse-monitoring retention of up to 30 days, with exceptions, temporary background-response storage for polling, and model-dependent prompt caching. We have not verified a Zero Data Retention agreement for this deployment. See OpenAI's data controls.

For account exports, correction of older records, school forms, account deletion, or a retention review, contact brian@claritydojo.com. Identity and authority must be checked before releasing or deleting another person's information. We do not promise immediate erasure from hosting backups, logs or provider systems. Requests involving institutional records may require coordination with that institution.

District review record

This describes the application controls in release 0.1.363. It is a technical disclosure, not a certification of legal compliance or a substitute for district approval.

• Stored and inferred: investigation answers, evidence and plans; provisional AI assumptions, reflections and suggested actions. Reviewable assumptions retain source labels and available dates.
• Access and correction: owners can review assumptions and use investigation editing controls. Authorized supporters and staff retain their existing scoped access. Additional record requests go to the operator.
• Verification: synthetic WordPress tests intercept the provider request and check removed-assumption exclusion, source labels and dates, invalidation of dependent summaries, rejection of stale or unauthorized edits, late-response handling and tracked-cache deletion. These checks do not audit the provider or hosting company.
• Before institutional approval: agree on the covered records, authorized roles, approved purposes, provider configuration, retention periods for live data, forms, logs and backups, incident handling, and correction/export/deletion procedures.
• At contract end: there is currently no automated contract-end deletion process. The agreement must name who requests and verifies export, access revocation and deletion, set deadlines for each system and backup, identify required exceptions, and require confirmation of completion. These terms must be established before relying on the site for district records.

4. Student and Institutional Accounts

When Clarity Dojo is used through a school, college, district, or other educational program, authorized staff may be able to view information related to participating students.

Depending on the implementation, this may include:

• Current Investigation.
• Guided-step progress and completed activities.
• Student responses and research notes.
• Self-rated confidence.
• Unanswered questions and planned next steps.
• Information indicating where additional staff support may be useful.

Access should be limited to authorized users with an educational or program-related reason to view the information. Clarity Dojo does not make student Investigation responses publicly searchable.

5. Schools, FERPA, and Education Records

Schools and colleges may have obligations under the Family Educational Rights and Privacy Act (FERPA), state student-privacy laws, and their own institutional policies.

When an institution uses Clarity Dojo as part of an educational program and provides access to information from student education records, the institution and Clarity Dojo may need additional contractual safeguards governing use, access, disclosure, retention, security, and deletion.

Use of Clarity Dojo does not automatically make an institution FERPA compliant. Institutions remain responsible for determining their own legal, policy, consent, and procurement requirements.

Where required for an institutional implementation, Clarity Dojo can address applicable privacy, data-processing, retention, access, security, and deletion requirements through an institutional agreement or data privacy agreement.

6. Children and Minors

Children under 13 can use the standalone exploration page without AI. Its activity notes stay in the page on their device unless they download or print them; refreshing or closing the page clears them. The hosting provider may retain ordinary access and security logs. Online accounts, submitted personal answers and AI help are for ages 13 and older. Parent or school approval does not enable under-13 online accounts or AI in this rollout.

For ages 13 to 17, AI processing remains pending until documented parent or guardian permission and the applicable provider and school review have been verified. A school affiliation, a supporter account, or acceptance of general terms is not sufficient by itself.

If we learn that personal information from a child under 13 was collected outside an authorized context, we will take reasonable steps to delete it.

7. Learning From Professionals

Clarity Dojo may help students identify people with firsthand professional experience, prepare informational-interview questions, or draft outreach.

Clarity Dojo does not, by default, represent outside professionals as being screened, employed, endorsed, or approved by a student's school.

Schools and programs may establish their own requirements regarding whom students may contact, parent or guardian approval, staff supervision, approved professional networks, communication methods, job shadows, or in-person experiences.

Students should not disclose unnecessary personal, educational, medical, disability, financial, or other sensitive information to outside professionals.

8. Sharing Investigations and Trusted Supporters

Clarity Dojo may allow a user to create a shareable, read-only version of an Investigation Brief or to grant a logged-in trusted supporter access to a specific Investigation.

A trusted supporter may be a parent, guardian, mentor, coach, or other person the user chooses. Supporter access is scoped to the Investigation the user shares and does not, by itself, provide access to a school roster, counselor-only controls, or unrelated Investigations.

The user may choose whether a trusted supporter can only view the Investigation or may also suggest and schedule a non-required next step. The user can revoke supporter access.

A person with a share link may be able to view the shared content. Users should only create a share link or grant supporter access when they are comfortable allowing that recipient to view the Investigation.

Share pages and supporter views are intended to exclude account credentials and unrelated private account information. Users should nevertheless avoid placing unnecessary sensitive personal information within content they plan to share.

9. Service Providers

We may use outside companies to perform services necessary to operate Clarity Dojo, such as website hosting, email delivery, security and spam prevention, website functionality, artificial intelligence processing, and analytics or diagnostic services when enabled.

These providers may process information only as necessary to perform the services for which they are engaged, subject to their agreements and applicable law.

We do not provide student personal information to third parties for their own targeted advertising.

10. Data Retention

We retain personal information only for as long as reasonably necessary to provide the service, maintain an account, satisfy an institutional agreement, meet legitimate operational or security needs, or comply with legal obligations.

Student data collected through an institutional program may be subject to retention and deletion requirements established in the agreement with that institution.

Users and institutions may contact us to request deletion of information, subject to legal, security, contractual, or recordkeeping requirements that may require limited information to be retained.

11. Access, Correction, and Deletion

Depending on the type of account and applicable law, users may request to access personal information associated with their account, correct inaccurate information, delete their account or personal information, or ask questions about how their information is being used.

For institution-managed student accounts, some requests may need to be coordinated through the school or institution.

12. Security

We use reasonable administrative, technical, and organizational measures intended to protect personal information from unauthorized access, disclosure, alteration, or loss.

The site uses encrypted HTTPS connections when information is transmitted between a user's browser and the site. No Internet service or storage system can guarantee absolute security.

13. External Websites and Services

Clarity Dojo may link to outside websites, professional profiles, research resources, or other third-party services.

Those services operate under their own privacy policies and practices. Clarity Dojo is not responsible for the privacy practices of an external website simply because we provide a link to it.

14. Email Communications

We may email users about account activity, service-related information, requested support, Investigation activity, or programs and pilots a user has requested information about.

Marketing messages, if sent, will include an appropriate method to unsubscribe. Student information obtained through an institution will not be used for unrelated commercial email marketing.

15. Institutional Agreements

Schools, districts, colleges, and other organizations may require additional privacy, security, data-processing, retention, deletion, breach-notification, or procurement terms before using Clarity Dojo with students.

An executed institutional agreement or data privacy agreement may establish additional requirements for that institution. Where a signed agreement conflicts with this general policy, the applicable signed agreement governs the institutional data covered by that agreement to the extent stated in it.

16. Changes to This Policy

We may update this Privacy Policy as Clarity Dojo changes.

If we make material changes to how personal information is collected, used, or disclosed, we will update this page and, when appropriate, provide additional notice to affected users or institutional partners.
